How to Read a Certificate of Insurance
A step-by-step guide to the names, policy table, dates, limits, and notes on a certificate of insurance.
Read the identifying details first
Start with the producer or agency, the named insured, and the certificate holder. Check that the names match the vendor and the organization that requested the document. A mismatch may need clarification before you review the policy table.
Review the policy table
For each listed policy, look for the details relevant to your request:
- Policy type and policy number, if shown.
- Effective and expiration dates for the period you care about.
- Limits and any listed indicators that a policy is claims-made or occurrence-based.
- Whether the policy type and limits match the written requirement.
Check notes and follow up
Read the description area and any attached endorsements or policy documents. A COI summarizes selected information and cannot change the policy. If an endorsement, exclusion, or current status matters, ask the insurer or agent to confirm it.
- Compare names, policy types, limits, and dates with the contract or request.
- List any missing or unclear item as a question for the vendor or agent.
- Keep the source document and note when you reviewed it.
