About these terms
These terms cover the CoverKestrel website, the free COI Checker, and our certificate tracking service. CoverKestrel is a small business based in Fredericksburg, Virginia. By using the site or the service, you agree to these terms.
What the COI Checker does
The public COI Checker accepts one PDF upload at a time and attempts to extract selected carrier, policy type, limit, and expiration details. Missing fields may be labeled as unidentified or not listed. The extracted values are a reading aid and may be incomplete or inaccurate. They do not verify that insurance is current, determine whether a policy provides coverage, assess compliance with a contract, provide an insurance determination, or offer legal advice.
CoverKestrel does not store the original PDF or create a public link to it. Selectable PDF text and rendered images of pages without selectable text are sent to our AI provider (OpenAI) for extraction. Do not submit documents if this processing is unacceptable.
Your use of the site
Use the site only for lawful purposes and submit only documents you are authorized to share. Do not use extracted fields as a substitute for reviewing the policy, endorsements, contract, or current information from an insurer or agent.
Do not upload files that contain malware, try to break or overload the site, or use automated tools to send large numbers of files. We may block access that looks like abuse.
Founding Member plan and billing
The Founding Member plan costs $99 per month, billed in advance each month to the card you enter at checkout. Payments are processed by Stripe. The plan is month-to-month with no contract. You can cancel at any time from your billing page or by emailing us; cancelling stops future charges, and the service continues until the end of the month you have already paid for.
The Founding Member rate stays the same for as long as your subscription stays active. If we ever change the price for new customers, existing Founding Members keep their rate.
No insurance or legal advice
CoverKestrel is not an insurance company, agency, or broker. We do not sell insurance or decide what coverage you or your vendors should carry.
Information on this site is general and educational. A certificate of insurance is a summary and does not amend or replace an insurance policy. Questions about coverage should be directed to the insurer or agent; contract questions may require a qualified legal adviser.
Our tracking service
When you sign up for tracking, we collect certificates from your vendors, compare them with the requirements you give us, email you before they expire, and email vendors for renewals. We rely on the certificates and information that vendors and their agents send us. We cannot make a vendor respond or renew, and you remain responsible for deciding whether a vendor may work for you.
Your vendor list and certificates stay yours. We use them only to provide the service. If you cancel, we send you everything we have collected, and we will delete it if you ask.
Warranties and liability
We work to keep the site and service accurate and available, but we provide them as is, without warranties of any kind. To the extent the law allows, CoverKestrel is not liable for indirect or consequential losses, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim, or $100 if you have not paid us anything.
Changes to these terms
We may update these terms, or change or stop the free checker. If a change affects paying customers, we will email them before it takes effect. The date at the top shows when these terms last changed.
Governing law and contact
These terms are governed by the laws of the Commonwealth of Virginia. Any dispute will be handled in the state or federal courts located in Virginia. Send questions about these terms to coverkestrelcoi@gmail.com.
